How do I create my first invoice?
Step-by-step guide to creating and sending your first professional, legally compliant invoice in Declair.

Before you start
Make sure your company details are complete under Settings → Company details: business name, Chamber of Commerce number, VAT number, IBAN, and invoice address. Declair fills these in automatically on every invoice.
Step 1 — Add a customer
- Go to Customers in the menu.
- Click New customer.
- Enter at least the company name and email address (for sending the invoice).
- Save the customer.
Tip: Add your most frequent customers upfront. When creating a new invoice, you select them with one click.
Step 2 — Create the invoice
- Go to Invoices → New invoice.
- Select the customer.
- Add line items: description, quantity, price, and VAT rate (0%, 9%, or 21%).
- Check the invoice date and payment term (default 14 or 30 days).
You can add products from your catalogue via Products, or type line items manually.
Step 3 — Review and send
- Check the PDF preview on the right to make sure everything is correct.
- Click Send to email the invoice, or Download for a PDF.
- The invoice automatically receives a unique invoice number.
Add a payment link (optional)
Want to get paid faster? Connect Mollie under Settings → Payments and add an iDEAL payment link. Your customer can then pay directly from the email.
Common mistakes
- Missing VAT number — required on invoices to business customers.
- Wrong VAT rate — 21% is standard; 9% only for specific goods/services.
- No description per line — every line item must clearly state what you delivered.
