Create a credit note

Correct an invoice with a credit note — fully compliant and linked to the original.

When to issue a credit note

Create a credit note when you need to correct or (partially) reverse a previously sent invoice:

  • Wrong amount or VAT on the original invoice
  • Return or partial delivery
  • Discount after the fact

A credit note is a negative invoice and must always reference the original invoice number.

Credit note from an invoice

  1. Open the invoice you want to credit.
  2. Click Create credit note.
  3. Declair automatically fills in customer details and the invoice number.
  4. Adjust the amount (full or partial).
  5. Send the credit note by email or download the PDF.

Create a credit note manually

  1. Go to Credit notes → New credit note.
  2. Select the customer and link the original invoice.
  3. Add the lines to be credited.
  4. Check the VAT calculation and send.

VAT and bookkeeping

The credit note reduces your revenue and VAT return for the period in which you send it. Export your records via Settings → Import/Export or connect your accounting software under Settings → Accounting.
