Quote vs. invoice
A quote is a proposal without payment obligation. Only when the customer agrees do you create an invoice. In Declair, that's one click.
Create a quote
- Go to Quotes → New quote.
- Select the customer (or create a new one).
- Add line items with description, price, and VAT.
- Set the validity period (e.g. 30 days).
- Send the quote by email or download the PDF.
Digital signing
With quote signing, you send the customer a link to view and sign the quote online. After signing:
- You receive an email notification.
- You can convert the quote directly to an invoice.
- The signed document is saved as a PDF.
Configure logo, colours, and default text under Settings → Quote signing.
Convert quote to invoice
- Open the quote with status Accepted.
- Click Convert to invoice.
- Declair copies all line items, customer details, and VAT to a new invoice.
- Send the invoice when you're ready.
Quote declined or expired?
Quotes with status Expired or Declined remain in your overview for your records. You can duplicate them as a basis for a new proposal.
