Create and send a quote

Create a professional quote, get it signed digitally, and convert it to an invoice.

Quote vs. invoice

A quote is a proposal without payment obligation. Only when the customer agrees do you create an invoice. In Declair, that's one click.

Create a quote

  1. Go to Quotes → New quote.
  2. Select the customer (or create a new one).
  3. Add line items with description, price, and VAT.
  4. Set the validity period (e.g. 30 days).
  5. Send the quote by email or download the PDF.

Digital signing

With quote signing, you send the customer a link to view and sign the quote online. After signing:

  • You receive an email notification.
  • You can convert the quote directly to an invoice.
  • The signed document is saved as a PDF.

Configure logo, colours, and default text under Settings → Quote signing.

Convert quote to invoice

  1. Open the quote with status Accepted.
  2. Click Convert to invoice.
  3. Declair copies all line items, customer details, and VAT to a new invoice.
  4. Send the invoice when you're ready.

Quote declined or expired?

Quotes with status Expired or Declined remain in your overview for your records. You can duplicate them as a basis for a new proposal.
